Meetings with People Operating Procedure

To uphold integrity, accountability, and the safety of all individuals involved, the following guidelines apply to all NSC employees and volunteers serving in leadership roles:

  • Opposite-Gender Meetings: One-on-one meetings between individuals of opposite genders—whether staff or non-staff—shall not occur in private or public settings. A third-party witness (such as a spouse, church employee, or another leader) must be present for any such interactions.
  • Preferred Meeting Locations: Whenever feasible, meetings should be held within NSC offices to ensure transparency and accessibility.
  • Meetings with Minors:
    • Staff may not meet with a minor—privately or publicly—without documented parental consent (e.g., email or text).
    • A second adult (spouse, church employee, or leader) must always be present during meetings with minors.
  • Policy Violations: Any staff member or volunteer leader found in violation of this policy will be subject to disciplinary action, which may include dismissal.

Meal Train Crisis Care Operating Procedure

When a request is made regarding the meal train or we wonder if we should start one …

  1. Are they in a small group?
    1. If yes, ask them to contact their small group leader for support or we contact them
    2. If no, see next steps:
  2. Was this an Unexpected Life Altering Event for them or a family member?
      • For example:
        • Unexpected/unplanned maternity hardship
        • Unexpected surgery/accident
        • Death
        • Unforeseen negative circumstance
    1. If yes, proceed with getting all the information you need to set up a meal train.
      1. Address
      2. Food allergies
      3. Dates (max. Every other day for 10 days) Then we re-evaluate to see if additional support is needed
      4. Invite members and home group participants to sign up and anyone else that is interested in serving in this capacity
    2. If no, evaluate the situation often times we can still help set up a meal train
      1. For example: known surgery where they can plan ahead for meals, or normal maternity/delivery where they can prepare ahead of time is not considered crisis care.
      2. For these types of events – we will ask for their circle of family and friends who will be emailed to join the meal train and help care for the individual.
      3. If no close family or friends are available to them, members and home group participants and those interested in serving in this capacity will be invited next.

KIDMIN Volunteers Operating Procedure

All volunteers in KIDMIN will have a completed and cleared background check and application packet on file – prior to being scheduled with children.

  • Volunteers are expected to attend team meetings as required by the children’s department.
  • Will accept/decline your schedule on Planning Center within 3 days of request.
  • Model Jesus in their daily life.
  • Be in regular attendance at church on dates not serving.
  • Be a part of and regularly attend a small group.
  • Communicate any issues/changes etc. with your Nursery Lead, in a timely fashion.
  • Never be alone with children in a classroom or the restrooms.
  • Keep the bottom door locked at all times, and the upper door open at all times.
  • Scheduled, cleared volunteers are the only adults allowed in the classroom.
  • No volunteer will physically discipline a child. If you need help, please ask your ministry leader and/or call security.
  • Volunteers will be familiar with and follow other policies/procedures that pertain to their age group as presented in their application packets.

Infectious Diseases Operating Procedure

All groups and services will continue – as people, especially during crisis, need the Good News of Jesus.

Sanitization requirements:

KIDS MINISTRY/NURSERY:

  • All toys, door handles, light switches, tables, chairs and high trafficked areas/items disinfected using most effective disinfectants on a weekly basis
  • In addition – disinfect high traffic areas/touch points after each Church service
  • MAIN BUILDING/OFFICES: All door handles, light switches, and frequently touched hard surfaces disinfected on a weekly basis

The lead pastor addresses the congregation telling everybody to take every precaution in disease prevention/spreading. We will:

  • Ensure adequate hand sanitizing stations in building and that bathroom soaps are full
  • All handshaking will be removed from all programing during the time declared to be a ‘public health emergency’
  • Offering will be received via text to give and we will provide a physical location to drop checks and cash – no offering buckets passed around
  • Communion will be switched over to 2in1 cup and cracker combo. They will be handed out with gloves to each individual.
  • Youth Pastor follows this entire SOP for youth group(s) as well
  • In the event we find out somebody in attendance during one of our services or groups has contracted or been exposed to infectious disease we will ask them if they need help making their way home and/or to the nearest doctor.
  • Staff is asked to stay home should they test positive.
  • In the event somebody affiliated with New Song is exposed to or contracts infectious disease a pastor will reach out to them via phone call immediately for 2 purposes:
  • To reassure and pray with them (keep in mind this will be one of the scariest moments of their lives)
  • Encourage them to take every precaution for their well being and from further exposing other people. Self quarantine from any outside function until after they have made a full recovery
    • Explain well the ‘why’ – you wouldn’t want anybody else to get sick or die
    • Offer a weekly Bible study via Skype or similar video application to counsel and pray with them on a consistent basis

  1. Leads an occasional group night
  2. HG leader encourages and calls out the Gold
  3. HG leader Invites them to attend a “Set the Table” Info Meeting
  4. LIT fills out online application to lead a group
  5. Application reviewed by CLO committee
  6. New HG leader voted in at CLO meeting
  7. New HG leader onboarded by CLO’s (additional training provided as needed)

Leader – Self Identifies

  1. Attends a “Set the Table” Info Meeting
  2. Fills out online application to lead a group
  3. Application reviewed by CLO committee
  4. New HG leader voted in at CLO meeting
  5. New HG leader onboarded by CLO’sn(additional training provided as needed)

HG Leader identifies a Host Home

  1. HG leader encourages and calls out the Gold

Home Groups Common Interest Operating Procedure

  • If someone is interested in starting a common interest group we will ask them to fill out the Request Form.
  • Once we receive the completed form – the Home Groups Pastor will review to ensure it aligns with all things New Song
  • The Home Groups Pastor will go over the basics of common interest groups at NSC (temporary, open, ministry purpose etc.) managing the app etc.
  • Once the common interest group has been approved and the leader trained, NSC admin will be asked to create the group (based on the information in the application)
  • Once the group has been created admin will contact the leader letting them know when they can start.
