Infectious Diseases Operating Procedure

All groups and services will continue – as people, especially during crisis, need the Good News of Jesus.

Sanitization requirements:

KIDS MINISTRY/NURSERY:

  • All toys, door handles, light switches, tables, chairs and high trafficked areas/items disinfected using most effective disinfectants on a weekly basis
  • In addition – disinfect high traffic areas/touch points after each Church service
  • MAIN BUILDING/OFFICES: All door handles, light switches, and frequently touched hard surfaces disinfected on a weekly basis

The lead pastor addresses the congregation telling everybody to take every precaution in disease prevention/spreading. We will:

  • Ensure adequate hand sanitizing stations in building and that bathroom soaps are full
  • All handshaking will be removed from all programing during the time declared to be a ‘public health emergency’
  • Offering will be received via text to give and we will provide a physical location to drop checks and cash – no offering buckets passed around
  • Communion will be switched over to 2in1 cup and cracker combo. They will be handed out with gloves to each individual.
  • Youth Pastor follows this entire SOP for youth group(s) as well
  • In the event we find out somebody in attendance during one of our services or groups has contracted or been exposed to infectious disease we will ask them if they need help making their way home and/or to the nearest doctor.
  • Staff is asked to stay home should they test positive.
  • In the event somebody affiliated with New Song is exposed to or contracts infectious disease a pastor will reach out to them via phone call immediately for 2 purposes:
  • To reassure and pray with them (keep in mind this will be one of the scariest moments of their lives)
  • Encourage them to take every precaution for their well being and from further exposing other people. Self quarantine from any outside function until after they have made a full recovery
    • Explain well the ‘why’ – you wouldn’t want anybody else to get sick or die
    • Offer a weekly Bible study via Skype or similar video application to counsel and pray with them on a consistent basis

Home Groups Common Interest Operating Procedure

  • If someone is interested in starting a common interest group we will ask them to fill out the Request Form.
  • Once we receive the completed form – the Home Groups Pastor will review to ensure it aligns with all things New Song
  • The Home Groups Pastor will go over the basics of common interest groups at NSC (temporary, open, ministry purpose etc.) managing the app etc.
  • Once the common interest group has been approved and the leader trained, NSC admin will be asked to create the group (based on the information in the application)
  • Once the group has been created admin will contact the leader letting them know when they can start.

Home Groups Operating Procedure

Individuals interested in leading or hosting a home group are invited to begin the process by attending a “Setting the Table” informational meeting. This initial gathering provides essential insight into the heart and structure of NSC home groups.

Next Steps After the Meeting:

  • Application: Attendees will complete an online application form following the meeting.
  • Review and Vetting: Applications are reviewed and vetted by two CLOs (Community Life Overseers).
  • Leader in Training (LIT): Once approved, applicants become Leaders in Training. They will:
    • Participate in additional training.
    • Be actively involved in a home group for a minimum of one quarter.
    • Become eligible to lead a group in the following quarter.

Hosting a Home Group:

  • Host homes may begin hosting once they have been vetted and approved through the same process.

Texting Operating Procedure

Texting to the Entire Church:

Approval: All text going out to the entire church will have graphics and verbiage pre- approved by Executive Pastor.

Proof Reading: All verbiage will be proof read by both office manager and executive assistant or office manager and an additional staff or executive assistant and an additional staff.

Graphics: Any graphic will be created by and approved by the creative department.

Timeline: All text requests will be sent to the Tech Dept 48 hours in advance.

Texting to an Individual Ministry or Specific Group:

Approval: All text going out to individual ministries or specific groups will have graphics and verbiage pre- approved by Executive Pastor.

Proof Reading: All verbiage will be proof read by requester. (Highly recommend a second set of eyes to double check before text goes out)

Graphics: Any graphic will be created by and approved by the creative department.

Timeline: All text requests will be sent to the Tech Dept 48 hours in advance.

Church Wide Reminders:

  1. WATCH 24 and WATCH 5:
    1. Watch 24 – send Friday morning of Watch
    2. Watch 5 – send Sunday night, two weeks after Watch 24
  2. HOMEGROUPS:
    1. Send sign up link during first week of open season
    2. Send sign up link during last week of open season
  3. SPECIAL EVENTS/SERVICES:
    1. Send day before Good Friday, Easter, Christmas, Outdoor Service
    2. Send for Emergencies or special announcements/changes

GLOO Explorer Operating Procedure

  1. Designee to monitor responses to texts we send out – will review in coming communication and determine if it fits in the 90% (general automated response** needed) or the 10% serious situation (needs some more personal attention)
  2. If it falls in the 90% category – automated response** will be sent (see below)
  3. If it falls in the 10% category – message will be forwarded to NSC office manager
  4. Office manager will determine who best to respond (herself, a pastor, other staff) and will forward accordingly.
  5. Those responding to the 10% will do so within 24 hours (whenever possible)
  6. Those responding to the 10% will do so via email and not provide any personal information.
  7. If a meeting is needed, it will take place in NSC offices during the day.
  8. NSC representatives will listen and give biblical encouragement and support.
  9. NSC representatives will not make recommendations/suggestions/diagnosis regarding individual situations (medical or otherwise) not in their line of expertise but will defer them to appropriate professionals as needed.

Fundraising Operating Procedure

Fundraising on Sundays will be an exception and not the norm and be limited to NSC sponsored events only.

  1. No Sunday fundraising from any outside group will be considered.
  2. NSC families may use the facility and/or parking lot to do a fundraiser Mon-Sat provided it does not interfere with regularly scheduled NSC events.
  3. NSC members wishing to use the facility for a fundraiser will complete a Member Facility Use Form.
